Teleconferences are becoming more commonplace as companies adapt to working from home for a long time after the pandemic. Meetings via teleconferencing are convenient, but there are some challenges to be weighed.

Participation is less than usual: Some attendees may be intimidated by the remote meeting initially, because they’re not used to interacting via online communications. This could lead to an inability to participate in the meeting. This can slow down the progress of the board and cause the agenda to be slowed down.

It can also be difficult to read facial expressions and body language when you are in a virtual discussion which can result in confusions. Lack of eye contact may also cause some directors to feel less at ease and apathetic listeners. This is not a good thing for the boardroom.

The board portal can be used to improve these issues. A board management tool that includes a secure video conferencing feature, for example makes it simple to record and store important documents. Directors can then access the documents and minutes at any time, from any device, even prior to the next meeting.

It’s also a good idea to ensure that the room is tidy and free of distractions. For instance the meeting should not be held during mealtimes and all attendees should turn off their phones when not speaking to avoid background noise. The chair should be able to monitor all attendees and advise attendees to only use their microphones when needed.
